Competencies - Further Guidance about Filling in the Details

This guide is intended for Employer Admin users. 

Awardable by Access Controller: When selected, the competency can be awarded by an Access Controller using the SkillGuard 5 app or Web Card Reader. 

Is Awardable: This must be selected to make the competency awardable to recordholders, otherwise it will not be available for selection when a user is awarding competencies.

Note: Ensure that the competency is defined correctly before making it awardable. Once the Competency has been awarded to one or more recordholders the competency's definition is partially locked so that only certain fields can be updated.

Always Award New: When selected and the competency is awarded, the older instance will not be overridden, but instead, will add it as a separate record of the competency award. 

If this box is left un-ticked and the competency has previously been awarded to the individual, when it is awarded again (re-certification) it will override the older instance with the most up-to-date expiry date rather than creating a new instance of the competency. 

Evidence Required: Select this if evidence is required to validate the competency. If no evidence is attached, the competency will not be valid even if it has not yet expired. 

Assignable By: This field allows the helpdesk to ensure some competencies can only be awarded by an approved training provider. 


Required Medical Level: If the competency requires a recordholder to hold a specific Medical Level before it can be validated, select the appropriate one from the drop down list.


Category 1 is highest level of fitness.


Category 5 is the lowest level of fitness.


Notes can be added if required. 


Competency Type: This will determine the parent category of the competency and the level at which the competency can be awarded.

Note: If the Employer Competency Type is selected, the employer of the logged-in user will be chosen. 

Awardable Date: The Start Date is the date from which the competency can be awarded. The End Date can also be added, but it is not mandatory.


Expiry: If the competency is set to expire after set period, new fields will be displayed:


The Validity Period Unit allows the user to set the validity period in days or months. For example, if the competency has a validity of 2 weeks or 14 days, select Days as the Validity Period Unit and then type 14 in the Validity Period.


Category: The category which the competency will be associated with.
