Issuing a Virtual Card

This guide is intended for Employer Admin users.
Please follow the steps below if the recordholder has not previously been issued with a Physical Card.
Prerequisites: the recordholder being issued a virtual card, will need to have a photo and ID check on their record, and if using SkillGuard for Utilities, will also require a valid subscription.
  1. Log in to SkillGuard.
  2. From the dashboard, either select the People tab or click Search for My People.
  3. Enter the search criteria, or leave blank to show your entire workforce, and click Search.
  4. Select the relevant recordholder and click Edit.
  5. To confirm that recordholder's email address and phone number are up to date, click on the Contact Details tab from the left-hand panel and update the details. Click Save if any details are updated.
  6. Select the Cards tab from the left-hand panel. All the requirements for requesting a card should be flagged with a green tick. If any are missing, they will be flagged with a red cross and the card request will be unable to progress until the requirements have been met in full.
  7. If you do not require a Physical Card, please deselect the blue toggle switch next to 'Issue Physical Card'.
  8. Select Send by Email or Send by SMS.
  9. Finally, select Request Card, this will generate registration number and PIN, along with guidance for the recordholder on how to load their virtual card to their mobile device 
If the recordholder has already been issued with a Physical Card, simply select the Cards tab, then select Request Virtual Card to send the card to their mobile number or email address.


Why do people need a virtual card? 

A virtual card is used to access an individual's record in the SkillGuard database. Simply holding a card is not evidence of any training or qualification. 

The free virtual smartcard can be downloaded instantly into the Vircarda app on the individual's phone. This smartcard has a short-life QR code for security and this means that the card cannot be copied or screenshot. 

When attending site, the individual should present their virtual card to the Access Controller, (supervisor or security, depending on the site), who will use the SkillGuard 5 mobile app to scan it. When scanning the card, the Access Controller will be able to view the individual's qualifications, job roles and fatigue information, as well award site-based competencies such as site inductions or daily briefings. 

If you do not bring your virtual card (or physical card), you may be denied access and prevented from working.
